This guide provides System Administrators and Category Owners with best practices for creating a new landing page, adding topics, and managing users in Let’s Talk. Follow these steps to ensure your landing page is set up for success.
Step 1: Add Users
Before creating topics, ensure your users are active in the system:
- For SSO-enabled districts: Submit a ticket via the (?) icon to the support team with a list of user emails to activate accounts. Your Client Success Manager (CSM) or Implementation Manager can assist with this process.
- For districts without SSO: Send email notifications to users so they can create passwords and activate their accounts.
- Refer to more information about User Roles here.
Step 2: Create a Category
Categories organize topics into manageable groups by department, school, or another logical structure. This grouping makes navigation and management easier.
Step 3: Create a Topic
To create topics that function effectively:
- Assign an Owner: Every topic must have an assigned owner.
- Add Team Members: Include at least one additional team member to ensure dialogues don’t sit idle in one person’s inbox.
- Customize the Topic Introduction: Add text, images, or links to display at the top of the form when someone selects the topic.
- Add to Landing Page: If a landing page already exists, link the topic to it and set up success messages.
Step 4: Translate Topics and Introductions
To make topics accessible in multiple languages:
- Go to Topics Manager and click the Translate tab.
- Select a language to translate into.
- Use the Auto-Translate tool or manually enter translations for each topic and introduction.
- Note: Auto-translation will override any manual translations already entered.
Step 5: Set Up Success Messages
Success messages are auto-replies sent to customers when they submit a dialogue.
- New topics default to a standard success message, but you can create custom messages to personalize responses.
Step 6: Translate Success Messages
To translate custom success messages:
- Go to Settings and click the Translations tab under Success Messages.
- Translate each message (confirmation message, thank-you email, etc.) individually using auto-translate or manual translation.
Step 7: Create a Landing Page
Build a landing page to host your topics and categories:
- Only topics with active owners will appear as options for the landing page.
- Refer to this guide for more details on building a landing page.
Step 8: Translate Landing Pages
To translate landing pages:
- Open the Landing Page Editor and click the Translate tab.
- Select the landing page and language for translation.
- Go through all tabs to ensure the entire page is translated.
- Use the preview tool to verify translations are displaying correctly.
Step 9: Pull Embed Codes
Embed codes allow you to display Let’s Talk forms and landing pages on your website:
- For full landing pages: Go to the Landing Page Editor, click the Share tab, and copy the embed codes for the full page, tab, or FAB.
- For individual topics: Download a .xls file from the Download tab to access embed codes and direct links for specific topics.
Bonus: Build Custom Forms with Form Builder
Need a unique form for a specific topic? Use the Form Builder Tool to create custom forms and remember to translate them for multilingual support.
By following these steps, you’ll ensure a seamless experience for your district’s Let’s Talk users. For additional support, contact your Client Success Manager or reach out to Client Care. lie
